Choose the winter operating plan before buying the tank and pump. A year-round supply and a seasonal system that is drained down need different details, instructions and responsibilities.
Map every part that holds water
The tank is only one item. Mark outlets, valves, filters, pumps, above-ground pipes, buried routes, first-flush devices and treatment equipment. Ask the supplier to identify which components retain water after the normal shutdown process.
An A-frame on piers may have water lines crossing exposed space before entering a heated utility area. Draw that transition in section. A plan view can hide where the protected part of the system ends.

Do not assume insulation alone makes equipment frost-proof. Have the designer explain how the entire arrangement works during the expected cold conditions and a power failure.
Request a component-by-component procedure
Ask for written instructions tied to the actual model numbers. A general direction to “drain the system” is incomplete if a filter housing, pump chamber or low pipe section still holds water.
Have electrical freeze-protection measures, where proposed, specified and installed by the relevant qualified trades. Do not improvise heaters or heat-tracing arrangements around plastic tanks and electrical equipment.
Keep water quality in the restart plan
Winter storage and restart are also water-quality questions. The CDC's rainwater guidance emphasizes system maintenance and use-appropriate testing. Ask the health authority or system provider what testing and recommissioning your intended use requires.
For a hypothetical cabin closed from November to April, assign the shutdown visit, record the completed steps and book the reopening visit before guests arrive. Keep photographs of labelled controls with the instructions, so the procedure is repeatable.
Save the winter operating choice in the project checklist. Coordinate it with the full plumbing winterization plan and spring reopening checklist. A storage-volume calculation cannot establish freeze protection.
